Due to continued Government restrictions during the pandemic, there is no in-person attendance at any locations for our classes and events at this time.
It is our intent to create a beautiful, joyous and Sacred Space for our Conclaves and Covenants. It is to this purpose that we have created the following policies to assist newcomers and long-time students alike in co-creating with us a beautiful balance between joyous, exuberant community/fellowship and honoring of Sacred Space, Silence, and Stillness. We also strive to create a clutter free/clean environment during all weekend events and seek your cooperation.
Set- Up Times:
Staff and Team only are permitted in the seminar rooms during set-up times. (Thursday and Friday). There are wires, heavy boxes and equipment that can pose a safety hazard during set-up and our staff and volunteers are working hard and require focus. We would love to say a proper “hello” at opening registration time Friday afternoon.
Your Name Badge is your Conclave/Covenant Entry Ticket
It must be worn at all times for security. You will be asked to show it each time upon entering the Ballroom. Do not leave your name badge on your chair.
Please turn off your mobile devices before entering. Personal audio or video recording on your mobile device or iPad is not permitted.
When the bell rings and you hear the flute music, kindly end your conversations, take your seat as soon as possible and maintain the silence once you are seated in the Ballroom.
Seating is on a first come, first served basis, excepting reserved seating that has been pre-arranged through the office. Line-ups are to begin no earlier than 30 minutes prior to registration opening. Seat saving for more than one person except for family members is not permitted.
The first 3 rows are reserved for our out-of- town Roses. If you are facing an appearance and need a more comfortable chair, please email the events department well in advance and we will do our best to accommodate you. Only those who have pre-arranged a reserved armchair are allocated one. They are located towards the sides and back of the room in order to not obstruct the view of the stage and there is a limited amount.
Please sit in the chairs provided and not on the floors in the product area. Chairs are not to be moved to the back or sides due to Fire Safety Regulations. Please always respect the Reserved Seating signs even when chairs are vacant.
Safety and Security Policies; Your Health Comes First!
Your health, safety, security and well-being are of utmost importance to us! If you are feeling unwell, please immediately inform someone at the registration tables. Stay hydrated. Feel free to sit down during decree time or ceremonies at any time. Take good care of you! The Ascended Masters will understand!
Walk- Please Don’t Run!
No running is permitted at any time in the Ballroom or Foyer of the Hotel/Venue. To ensure the safety and freedom of movement and to comply with Fire Regulations please do not move your chairs or leave any of your belongings in the aisles and store personal items under your chair. Do not leave any pens on the floors of the Ballroom. Watch carefully for taped wires and carpeting.
Doors are locked during lunch breaks. Please ensure you have all your necessary belongings with you. When lunch breaks begin exit the room quickly and continue your conversations outside so the Hotel staff and volunteers can quickly enter and prepare the room for the afternoon session. At the end of the Conclave or Covenant exit the room quickly for your safety as packing and tear down begins.
Respecting Personal Space: Our Policies on Conduct regarding Dating, Relationships and Personal Interactions amongst Roses:
Our events are intensely focused studies on varied spiritual thought and themes the very foundation of which is Divine Love. It is easy for some in this environment to focus this Divine Heart Love onto one particular person to whom we might find ourselves romantically attracted. Sometimes this attraction is mutual and can lead to serious life-long relationships and commitments.
Sometimes it is not mutual at all and can cause someone to become uncomfortable whilst attending our events and this is where our policies come in. We encourage mutual, respectful, and loving friendships amongst our Roses. Any potential mutual romantic relationships are to be nourished and developed privately outside of our events.
It is our intent to create a Safe, Lovely, and Sacred Space for everyone.
There is lots of hugging that goes on during our events! However, we must be acutely aware that some do not wish to be hugged so it is imperative to always ask permission first and to respect a “No thank you” answer without being offended. This is the same with any other kind of physical contact, whether it be offering to massage someone’s shoulders, hands-on-healing, or any other kind of touch.
You must request permission first and this applies to all. Unwanted touching which includes hugging, massaging, hand-holding and unwanted sexual advances will not be tolerated at our events.
Once it has been made clear that a Rose would prefer not to be hugged or touched in any manner or pursue a relationship, and that wish has not been respected you will be asked to leave the event and any future registrations will not be accepted.
If this behavior continues outside of our events through unwanted contact such as phone calls, emails, or social media messaging, this will be defined and considered sexual harassment and we will delete your account and follow all applicable laws and governances.
We will protect all our students as best we can from feeling uncomfortable or unsafe attending our events. If you do find yourself in a situation that leaves you feeling uncomfortable, please communicate what has transpired to a staff member as soon as possible and proper actions will be taken to rectify the situation.
We value and encourage Students to maintain clear and respectful communication with each other and to take the time to resolve any problems or misunderstandings should they arise.
At the end of Discourses feel free to stand and applaud, however avoid hooting, hollering and whistling as it could be right in someone’s ear. It is however welcomed if you feel so inclined to show our musicians your enthusiastic appreciation.
Any items offered for raffle must be pre-authorized by the office no later than two weeks in advance. We are very grateful but cannot accept items for raffles the day of Conclave.
Policies and Procedures regarding Children:
The Radiant Rose Academy has a strict Policy regarding Children attending our Events. Although our events may not be suitable to Children under 12 years of age, they are most welcome to attend with their families. However, Children must have parental supervision at all times. It is the responsibility of the parents to make sure that their Children are properly behaved and are not making noise or disturbing the Event. Leaving Children unattended in adjoining rooms or lobby area of events is absolutely not permitted and will be strictly monitored. Thank you for your understanding and cooperation.
Giving Our Messengers Space:
Although both our Messengers enjoy visiting with our event guests, they appreciate your understanding that it is important that they be allowed to refresh, rest their voices, and renew themselves during breaks.

Is there a Dress Code?
Dress for the Conclaves varies. We understand that people desire to travel light and will be sitting for long periods of time and wish to be comfortable. We don’t have a formal Conclave dress code but do ask that students dress appropriately in honor of our Ascended Master Guests. Bring a sweater or shawl, or dress in layers to ensure your personal comfort. We encourage you to avoid blue-jeans, and no shorts or flip-flops allowed. Dress for dinners is semi-formal.
We honor the Color Ray of the Day, or the Rays of God by wearing certain colors on certain days of the week. Friday, we wear green or pink, Saturdays we wear purple/violet. On Sunday we wear Blue or White. During Covenants we wear solid colors on top and white on Sundays.
Can I bring my lunch?
Yes, however like most theaters many hotels do not allow outside food and beverages consumed on their premises. In order to respect the hotel’s policies and keep our Sacred Space clean, we do not allow any outside food permitted in the Ballroom or Foyer, except for staff/presenters/team volunteers who would not otherwise have time to nourish themselves due to their service schedule. Some hotels allow morning coffee/smoothies etc., some do not. The Fairmont Hotel Vancouver does allow coffee and tea. If do you bring your lunch please find an area outside of the venue to eat.
Please do not leave any drink containers on any of the sound, registration or product tables and dispose of any garbage on your way out.
How do I obtain a Conclave Schedule?
A detailed schedule can be found in the middle of your Conclave Program which are handed out after the Ballroom doors open. There is one Conclave Program per attendee. Write your name on it and keep it with you, and do not leave your program on your seat, as they tend to disappear. If you would like an extra program please inquire during the afternoon break on Sunday. You can also download the Conclave program located at the bottom of the registration page on our website.
(Weekend Gatherings and Covenants do not have a schedule or program.)
Opening and closing times can be found on the registration page for each event as they can differ from city to city.
How do I make purchases?
Currently we are working on bringing in computerized Point of Sale Software and we hope to have this in place very soon. For now, we don’t use cash registers but use a manual system. We use forms that have our products and prices including tax listed. Simply add it up using calculators provided and bring the completed form to the desk to pay. We have volunteers to assist you in filling out the form.
Members Only Product Forms
Gold Members please use the Yellow Product Purchase Form that reflect the prices with your 15% discount already applied and include tax.(Membership Discounts do not include download recordings, sale items, oils or specialty products) The white form is for non-members.
How do I become a Gold Member?
Gold Membership is automatic and free if you subscribe to all four of the Academy Classes. If you do not subscribe to all four of our monthly classes, you can still become a Gold Member by subscription; the fee is $33.00 per month. Membership is available online only.
Event Download Recordings
Attendees can purchase the audio recording of the event at a substantial discount, as our thank you for attending. Please fill out a product purchase form and bring it to the registration tables, you will be given a ticket with a coupon code and instructions for ordering the recordings on our online store. The coupon code expires one month after the close of the event and cannot be shared or transferred.
How can I get Table Space to sell or promote my own products/services?
Students are not permitted sell/promote/share or offer their own merchandise, services, talents or healing therapies etc. at any Academy Event without expressed written authorization through the office well in advance. Our table space is limited to the Radiant Rose Academy’s products and pre-approved Presenter merchandise. We do not permit any students onstage or to use the microphone without first being invited or pre-authorized through the office.
